Reporting to the management team, this role focuses on completing administrative duties in a timely manner, which also includes supporting the various accountants within the team.

THE ROLE:

Key responsibilities include, but are not limited to;

  • Immediate response to customer queries
  • General administration duties including filing, scanning, archiving, collating monthly reporting packs;
  • Stationery orders (ad- hoc);
  • Maintaining client database with up-to-date information;
  • Take minutes for all internal meetings
  • Answering phone inquiries and help direct and solve customer inquiries for building management;
  • Back up support for executives;
  • Assisting with the management of various matters regarding the building group;
  • Other ad hoc duties as required including: running of errands (delivery and collection of confidential documents); review and compare utility rates; and liaising with bankers, lawyers, share registries and other 3rd party suppliers;
  • Accounts Payable;
  • Assisting with other basic bookkeeping and data entry tasks.

WHO YOU ARE:

Professional:

  • Intermediate Microsoft Office skills – Excel, Word, Outlook;
  • Prior customer service experience;
  • Studying towards, (or considering studying towards) recognized qualifications in Business Administration would be highly regarded;
  • Accounting Package Xero Accounting or similar;
  • Electronic Document Management experience essential;

Personal:

  • Strong Customer Service skills
  • Strong Interpersonal skills and the ability to build relationships;
  • Good communication skills and being able to deal with different parties face to face, via email or over the phone;
  • Be able to multi-task.
